1. Greeting

"Thanks for calling Smith Heating and Air, this is [name]. How can I help?"

Short, warm, and it uses your business name, so callers know they reached the right place.

2. Listen, then confirm

Let the caller explain. Then repeat back the key point: "So your furnace stopped blowing warm air this evening. Let's get that taken care of."

3. Triage questions

• Is the system completely off, or running but not heating or cooling?
• Gas or electric? Furnace, heat pump, or AC?
• How long has it been happening?
• Is anyone at home who is elderly, very young, or has a medical condition?
• For any gas smell: "Please leave the house now and call your gas company or 911. Then we will help."

4. Service area and address

"What's the address, or at least the ZIP code?" Confirm it is in your area before you book.

5. Offer two times

"I can get a technician out tomorrow between 8 and 10, or between 1 and 3. Which works better?" Two options book faster than "when works for you?"

For an urgent call with no near-term opening: offer the earliest slot plus a transfer to your on-call tech.

6. Confirm and close

Read back the name, phone number, address and time. "You'll get a confirmation, and our tech will call when they are on the way. Is there anything else I can help with?"

7. Things never to say

• A price you have not been authorized to quote.
• A diagnosis over the phone.
• "We'll call you back" without a time.
